- Conversation Analysis: Retell AI processes your verbal responses in real-time to understand your business needs and determine if our services are a good fit. This includes speech recognition, natural language processing, and conversational AI capabilities
- Qualification Process: Your responses during the Retell AI call are analyzed to qualify you as a potential customer and assess service suitability
- N8N Automation: Your form data is processed through our self-hosted N8N automation platform which orchestrates the workflow between form submission, Retell AI contact, and subsequent scheduling processes
3.2 Sales Consultation and Conversion (Cal.com & Google Meet)
Following the initial AI assessment, your information is used for:
- Cal.com Booking: Your email address and contact details are used with Cal.com (our scheduling platform) to manage and coordinate Google Meet video call appointments for discovery consultations
- Google Meet Scheduling: Cal.com sends you Google Meet video call invitations directly to your email address for the scheduled consultation
- Sales Process: Your business information (name, website, email) is used during our sales consultation to understand your requirements and present our customer acquisition services
- Proposal Development: Your details are used to create customized service proposals and pricing tailored to your business needs
- Conversion Activities: We use your information to follow up, answer questions, and facilitate your decision-making process with the goal of converting you into a paying customer for our services

- N8N (Self-Hosted): We use our self-hosted N8N automation platform to orchestrate workflows between form submission, Retell AI, Cal.com, and our CRM. As this is self-hosted, your data remains within our controlled infrastructure during automation processing
- Cal.com: We use Cal.com as our scheduling platform to manage appointment bookings for Google Meet consultations. Cal.com processes your email address, name, and scheduling preferences to coordinate meetings
- Google Workspace: We use Google Meet and Gmail for video consultations and email communications. Your email address and scheduling data is processed through Google's secure infrastructure when Cal.com creates meeting invitations
- CRM Providers: Your contact details are stored in our customer relationship management system to manage ongoing communications
- Analytics Providers: Website analytics services (e.g., Google Analytics) may process anonymized usage data
- Cloud Infrastructure: Our website and systems are hosted on secure cloud infrastructure providers
All third-party service providers are carefully selected and required to maintain appropriate security measures and comply with data protection laws. We do not sell your personal data to third parties.
6. Data Retention

- Enquiries (Non-customers): We retain your data for up to 2 years from your last interaction, after which it is securely deleted unless you request earlier deletion
- Customer Data: If you become a customer, we retain your data for the duration of the service contract plus 7 years for legal and accounting purposes
- Retell AI Call Records: Voice conversation data (recordings and transcripts) from Retell AI assessment calls is retained for quality assurance and training purposes for up to 12 months, then securely deleted. Retell AI may also retain this data according to their own retention policies
- N8N Workflow Logs: Automation logs in our self-hosted N8N system containing your form submission data are retained for up to 90 days for troubleshooting and optimization purposes
- Cal.com Scheduling Data: Appointment booking information is retained in Cal.com for the duration of your engagement plus 12 months for scheduling history and analytics
- Marketing Communications: If you consent to marketing, we retain your data until you withdraw consent or become inactive for 3 years
